Aasthi is an Asset Management System, which helps in Aasthi - Screenshotcreating and managing a data repository of the inventory pertaining to the hardware and software of IT resources in an organization. IT assets consist of the hardware and software components found in the IT environment. The IT inventory list basically consists of computers, monitors, software, network devices, printers, plotters, scanners, cartridges etc. IT Asset Management is the collection of practices that combine inventory and financial aspects to support the IT life cycle management. Procurement, deployment, management and disposal of the asset component (hardware or software) form the life cycle in the IT environment.

Aasthi is a FOSS based application with two major components, OCSNG, an application for automatically capturing the inventory data pertaining to the installed hardware and software of a computer and its associated peripherals, and second component named GLPI which helps in the management of these inventories. GLPI makes use of the data captured by OCSNG and the financial and commercial data pertaining to the inventory. The financial details include data on purchase order, invoice, warranty, AMC and the commercial details include data on suppliers, contacts, contracts etc. The financial and commercial data have to be entered manually into GLPI. The data captured using OCSNG could be imported into GLPI; also manual entry of inventory data is possible in GLPI.

The official release of Aasthi was done on 13th June 2008 at a function held in Mascot Hotel, Trivandrum by Shri. R. Chandrasekhar IAS, Additional Secretary, Department of Information Technology, Government of India in the presence of Dr. Ajay Kumar IAS, then Secretary (IT), Government of Kerala.

Functionalities and Features


The principal functionalities of the application are:

  1. The precise inventory of all the IT resources. All their characteristics will be stored in a database.

  2. Management and the history of the maintenance actions and the transfer procedures. This application is dynamic and is directly connected to the users who can post requests to the technicians.


The main features of Aasthi are

  • Complete inventory of hardware and software assets.

  • Inventory of the computers with management of the devices connections and TCO management

  • Inventory of the monitors with management of the connections to the computers Inventory of the network hardware with management of the connections to the devices (IP, Mac addresses, VLANs)

  • Inventory of printers with management of connections to the computers and management of consumable associated

  • Inventory of the external devices (scanners, graphical tables) with management of the connections to the computers

  • Inventory if the software with license and expiration dates management Assignment of the hardware by geographic area (room, floor)

  • Commercial and financial Information management (purchase, guarantee and extension, damping)

  • Track ownership, history of assets, and also history of the modifications on the elements of the inventory

Key Stakeholders

KSITM - Overall ownership of the Aasthi project.

IT Cell, Secretariat - Ownership of the Aasthi project at the Secretariat. Responsible for monitoring the inventory management.

Aasthi implementation agency - TSPs approved by Government of Kerala.

Aasthi software development agency (SPACE) - Responsible for developing Aasthi software and training the Aasthi support team in the software.

Scope and Status of Implementation

Aasthi has been successfully implemented at KSITM and is ongoing in the Government Secretariat. Keltron has been appointed as the Service Agency for installation and data collection. They have installed Aasthi in about 2000 computers in the Govt Secretariat and is in the process of installing this e-inventory management system for the rest of the inventories in the Secretariat. Keltron is also responsible for collecting the inventory data, updating the inventory data, administration of Aasthi system, Aasthi server and help desk functions.

KSITM is in the process of upgradation of Aasthi, for which the approved URS forwarded by IT Cell, Govt Secretariat has been sent to the developer and subsequently M/s SPACE, the implementing agency, submitted a proposal to KSITM for implementing an automatic email alert module for Aasthi:

This module will add the following features to Aasthi

1. Periodically check the status of the machines reported to Aasthi and send an email to the administrator if the machine is not reporting to Aasthi in a specified time interval.

2. Periodically compare the system specification of the machine in the asset register with the report send by the machine and sent an email to the administrator if there is any changes in the system specification.

3. Periodically check the machines reporting to Aasthi and sent an email to the administrator if there is any new machines.

  • Reports like Equipments by category, Equipments by warranty/AMC, Equipment delivery report, Equipment installation report, Historical reports are also possible.
